New Employee Orientation, Reimagined

As a solo instructional designer, I produced a 20-video onboarding and orientation series that replaced an outdated and inconsistent orientation system with a consistent script, narration, and delivery mode that is relatable and informative.

The problem

Each new employee orientation varied in format, design, and delivery. The existing orientation videos were outdated by about five years. The information that was shared was not customized to address three separate campuses' needs. The learner experience depended on the speaking style and presentation skills of the Zoom facilitator for the online portion of the orientation.

The process

  1. Needs & gap analysis

Mapped what every new hire, regardless of campus or department, needed to know versus what was currently being taught inconsistently.

  2. Consulting & Scripting

I drafted scripts for the 20+ campus-specific videos, keeping a consistent core structure and design while adapting details to each location. I consulted with the relevant SMEs to incorporate their perspectives in the scripts and the overall design of the video.

  3. Production

I used Articulate Storyline and its animated elements to create the videos. I designed, narrated, edited, and produced the full series. I also handled the voiceover recording, closed captions, and visual design from start to finish.

  4. Review & Rollout

I forwarded review links to the SMEs to gather their feedback and finalize the videos. I worked with Marketing and Communications to upload these finished videos to our newly designed new employee website. Now the new hires would have a series of 20 videos to complement the virtual instructor-led training Zoom session which improved the overall experience for our new hires.

Key decisions

Why video, not slides

New hires needed to be introduced to the different departments in a consistent and memorable manner. A simple slide deck presented by a senior trainer wasn't enough to fully deliver all the content new hires needed to know.

Why campus-specific, not generic

A one-size-fits-all video would have felt disconnected from what new hires actually experience during onboarding and orientation. Local relevance for each of our campuses was the most important part so each person could have an equitable onboarding and orientation experience.

The outcome

Every new hire, regardless of campus or department, now gets the same consistent orientation experience instead of one that used to depend on just a Senior Trainer's presentation. The series is made available to 500+ new hires annually and replaced a process that was outdated and lacking in material and impact.
